Sekretaresse wat ontvangst- en administratiewe ondersteuning aan die Direkteur in Polokwane verskaf, met 'n Graad 12 en rekenaarvaardigheid as vereiste.
Vereistes
- Minimum vereistes: Aansoekers moet in besit wees van 'n Graad 12-sertifikaat.
- Werkverwante kennis: Rekenaarvaardigheid (Microsoft Word, Microsoft Excel, PowerPoint, ens.).
- Werkverwante vaardighede: Goeie telefoonetiket.
- Deglike organisatoriese vermoë.
- Goeie mensevaardighede. Rekenaarvaardigheid.
- Vermoë om goed met mense op verskillende vlakke en uit verskillende agtergronde te kommunikeer (sowel skriftelik as mondelings).
- Vermoë om met takt en diskresie op te tree.
Pligte
- Verskaf 'n sekretariaat-/receptionistondersteuningsdiens aan die Direkteur.
- Neem telefoonoproepe aan en verwys die oproepe na die korrete rolspelers indien dit nie vir die betrokke senior bestuurder bedoel is nie.
- Neem afsprake en geleenthede in die dagboek op.
- Tik dokumente vir die senior bestuurder en ander personeel binne die eenheid.
- Bedryf kantoortoerusting bv. rekenaars en fotokopieerders.
- Verskaf 'n administratiewe ondersteuningsdiens aan die senior bestuurder.
- Skakel met reisagentskappe om reisreëlings te tref.
- Kontroleer reëlings wanneer toepaslike dokumente ontvang word.
- Reël vergaderings en geleenthede vir die senior bestuurder en die personeel in die eenheid.
- Identifiseer plekke, nooi rolspelers uit, reël verversings en stel skedules vir vergaderings en geleenthede op.
- Verwerk die reis- en onderhoudsklaagliede vir die eenheid.
- Verwerk alle fakture wat voortvloei uit die aktiwiteite van die werk van die senior bestuurder.
- Neem basiese notules van vergaderings van die senior bestuurder waar nodig op.
- Opstel van roetine-korrespondensie en verslae.
- Doen lêerwerk van dokumente vir die senior bestuurder en die eenheid waar nodig.
- Administreer sake soos verlofregisters en telefoonrekeninge.
- Ontvang, neem op en versprei alle inkomende en uitgaande dokumente.
- Hanteer die verkryging van standaarditems soos stasieer, verversings, ens.
- Versamel alle toepaslike dokumente om die Direkteur in staat te stel om voor vergaderings voor te berei.
- Bly op hoogte van voorskrifte/beleide en prosedures wat op sy/haar werkomgeving van toepassing is om doeltreffende en effektiewe ondersteuning aan die senior bestuurder te verseker.
- Bestudeer die toepaslike openbare diens- en departementele voorskrifte/beleide en ander dokumente om te verseker dat die toepassing daarvan behoorlik verstaan word.
- Hou tred met die prosedures en prosesse wat in die kantoor van die senior bestuurder van toepassing is.
