Pligte

  • Verskaf 'n sekretariële/ontvangssteundiens aan die Streekbestuurder.
  • Neem die besprekings van die Streekbestuurder op.
  • Gebruik diskresie om te besluit of om vergaderversoeke te aanvaar/af te wys of na ander werknemers te verwys, gebaseer op die beoordeelde belangrikheid en dringendheid van die saak.
  • Koördineer met en sensibiliseer/adviseer die bestuurder rakende besprekings.
  • Stel 'n realistiese skedule van afsprake op.
  • Verskaf administratiewe steundienste.
  • Verseker die doeltreffende vloei van inligting en dokumente na en van die kantoor van die Streekbestuurder.
  • Ondersoek roetine-voorleggings/verslae en maak notas en/of aanbevelings vir die bestuurder.
  • Reageer op navrae wat van interne en eksterne belanghebbendes ontvang word.
  • Versamel, analiseer en kollasioneer inligting wat deur die SB versoek word.
  • Verduidelik instruksies en notas namens die SB.
  • Verseker dat reëlings vir reis goed gekoördineer word.
  • Bestuur die verlofregister en telefoonrekeninge vir die eenheid.
  • Hanteer die verkryging van standaarditems soos skryfbehoeftes, verfrissings ens. vir die aktiwiteite van die SB en die eenheid.
  • Verskaf steun aan die Streekbestuurder rakende vergaderings.
  • Versamel en stel alle nodige dokumente op om die SB in te lig oor die inhoud.
  • Neem notules/besluite op en kommunikeer dit aan relevante rolspelers, volg vordering op.
  • Berei voorleggingsnotas vir die SB op soos vereis voor.
  • Koördineer logistieke reëlings vir vergaderings wanneer vereis.
  • Ondersteun die bestuurder met die administrasie van die begroting.
  • Versamel en koördineer alle dokumente wat verband hou met die begroting van die kantoor van die SB.
  • Ondersteun die SB om befondsingsvereistes vas te stel vir doeleindes van MTEF-voorleggings.
  • Hou rekord van bestedingsverbintenis, hou besteding dop en waarsku die SB oor moontlike oor- en onderbesteding.
  • Kontroleer en kollasioneer BAS-verslae om te verseker dat besteding korrek toegedeel word.
  • Identifiseer die behoefte om fondse tussen items te skuif, raadpleeg die SB.
  • Vergelyk die MTEF-toekenning met die versoekte begroting en stel die bestuurder van veranderings in kennis.
