Verskaf sekretariële ondersteuning aan die Direkteur by die Area Military Health Unit Western Cape in Wynberg, bestuur afsprake, oproepe en kantoortoerusting.
Vereistes
- Minimum van Graad 12 (NQF Level 4) of gelykwaardig.
- Geen ervaring vereis.
- Spesiale vereistes (vaardighede benodig): Taalvaardighede en die vermoë om goed met mense op die verschillende vlakke te kommunikeer.
- Rekenaarvaardig (MS Word, Excel en power Point) en goeie telefoonetiket.
- Deeglike organisatoriese vaardighede.
- Goeie interpersoonlike vaardighede.
- Hoë vlak van betroubaarheid.
- Goeie kommunikasievaardighede.
- Vermoë om met takt en diskresie op te tree.
Pligte
- Verskaf sekretariële ondersteuningsdiens aan die Direkteur.
- Neem afsprake en gebeurtenes op (bestuur die Direkteur se dagboek).
- Ontvang telefoonoproepe en verwys na die korrekte rolspelers.
- Neem afsprake en gebeurtenes in die dagboek van die direkteur op.
- Bedryf kantoortoerusting soos faks- en fotokopieermasjien.
- Skakel met reisagentskappe om reelings vir die Chief Director te tref.
- Verwerk reis- en substansiesklikte vir die Direkteur.
- Volg die reëlings na en bespreek met die Chief Director wanneer die relevante dokumente ontvang is om te verseker dat die Direkteur die akkommodasie voor bevestiging goedgekeur het.
- Reël vergaderings en gebeurtenisse vir die Direkteur.
- Bespreek sale, nooi rolspelers, reël verfrissings en stel skedules vir vergaderings en gebeurtenisse op.
- Verwerk alle fakture wat voortspruit uit die werkaktiwiteite van die Direkteur.
- Neem basiese notule van die vergadering van die Direkteur.
- Opstel van roetinekorrespondensie en verslae.
- Vestig en onderhou 'n liaseringstelsel in die kantoor van die Direkteur.
- Administreer sake soos verlof vir die Direkteur.
- Behartig die verkryging van standaarditems soos stasieënsele, verfrissings, ens.
- Versamel alle relevante dokumente om die direkteur in staat te stel om vir die vergaderings voor te berei.
- Bestuur alle korrespondensie in en uit die Direkteur se kantoor.
- Verseker dat dokumente wat vir die Direkteur se goedkeuring ingedien word, aan vasgestelde norms en standaarde voldoen.
- Bly op hoogte van die prosedures en prosesse wat in die DOD van toepassing is om doeltreffende en effektiewe ondersteuning aan die Direkteur te verseker.
- Bestudeer die relevante Openbare Dienst- en Departementele voorskrifte/beleide en ander dokumente om te verseker dat die toepassing daarvan behoorlik verstaan word.

Under no circumstances will photostat copies or faxed copies of application documents be accepted. The successful candidates will be subjected to Personnel Suitability Checks (criminal record, citizenship & financial/asset record checks and qualification and employment verification). Successful candidates will also be subjected to security clearance processes. The level of appointments is dependent upon, qualifications, relevant experience and research output. All shortlisted candidates, including SMS, shall undertake two pre-entry assessments. One must be a practical exercise, and the other must be an Integrity (Ethical Conduct) Assessment. Selection panels shall score both technical exercises as an additional criterion in the interview process. All shortlisted candidates for SMS posts will be subjected to a technical exercise and interview. Following the technical exercise and interview, a maximum of three (3) SMS candidates will undergo psychometric assessments to assess cognitive capabilities, behavioural preference, emotional intelligence, and integrity. The competency assessment will be limited to successful candidates in the interview process only. Shortlisted candidates will be subjected to a personnel suitability checks (pre-employment screening) which may include social media profiles checks. A successful candidate will have to undergo a full security vetting while in the employ of the department and negative outcome shall nullify employment contract. Failure to submit the required documents will result in your application not being considered. Successful candidates will be required to disclose their financial interests within one (1) month of appointment.
